How to Design and develop
Information Retrieval System
Ravaniyammal . T
MLIS 2nd year
Pondicherry University
Introduction
Information Retrieval System is designed to retrieve
the documents or information
required by the user community. It should make the
right information available to the
right user at the right time. Thus information retrieval
system aims at collecting and
organizing information in one or more subject areas
in order to provide it to the user
needs. Belkin [1980] presents the following situation
which clearly reflects the purpose
 of information retrieval system.
Definition
A system can be defined as a set of interacting components, under
human control,
operating together to achieve an intended purpose. A system
carries out processing on
inputs to produce required outputs, the agent of this processing
are people and
 machines.
System design may be viewed designer selects each element and
tries to fit it with the
proposed objective of the system. If a system is designed
carefully, the designer must
be aware of the choices that are to be made, and he or she must
consider the
consequences of making any available choice.
Design
A system for retrieving information requires
decisions about groups and
subgroups, and what to do with things that
don't really fit the system, so that
users can pull together (aggregate) the
appropriate information -bearing
 entities.
Various options in designs:
 1. The design phase
 2. The implementation stage
The system becomes less effective, due to
several reasons such as mechanical faults,
arrival of new technologies, major changes in
the requirements and environment.
Design
Suggest in effectively by Liston and
Schoene

1. Prompt dissemination of information
2. Filtering of information
3. The right amount of information at the right time
4. Active switching of information
5. Receiving information in the desired form
6. Browsing
7. Getting information in an economical way
8. Current literature
9. Access to other information systems
10. Interpersonal communication and
11. Personalized help.
Searching query
THEN USER ORIENTED: suggests in
Liston and Schoene
 1. Identify the specific information requirement of the
user community
 2. Provide for interaction between the system designer
and the users
 3. Provide information in a form suitable for ready use
 4. Scope should be broad enough to cover all kings of
requirements of the user
 community
 5. Easily accessible and convenient to use as a whole, be
adaptable to
 environmental changes
NEEDS OF THE FOLLOWING
INFORMATION
 1. A specification of the user group to be served, its
characteristics, size and
 location
 2. A knowledge of the information needed by the group
 3. A grasp of any existing system that is to be
developed, replaced, or competed
 against
 4. The nature and volume of items to be input to the system.
The system being designed may have a number of parameters that
need to be considered.
1. Fixed parameters of the system
2.Variable parameters
3.Identification of the available options within each variable
DEVELOPMENT:
The development of an ISAR system starts
with the recognition of the need for
developing a system in relation to the needs
of the users, as all the subsequent activities
are dependent upon these. When
designing, ISAR systems should follow system
development life cycle (SDLC) for greater
efficiency and effectiveness of the systems. In
the design of the systems, following steps
need to be followed.

a) Recognising the need for development of ISAR system.
b) Recognising the information needs of the users.
c) Identification of users need.
d) Deciding the type(s) of databases to be incorporated into the system.
e) Deciding about the features for incorporation in the databases.
f) Preparation of structured queries.
g) Design and development of various components of the system such as
user interface, search agent, etc.
 h) Evaluation of the system.
 i) Re-designing/Modification of ISAR system, if needed.
Latest developments in computerized information retrieval traditional
library tools and techniques, like classification, cataloguing and
vocabulary control, as well as the traditional manual indexing systems.
CONCLUSION
Nowadays advanced technologies are used in
modern ISAR systems. The full text and
multi-media contents are now common in
modern ISAR systems. Also hybrid systems
coexist that provide access to physical
collections as well as electronic collections.
