Scheduler
Duties/ Responsibilities
Duties include, but are not limited to:
 Planning and scheduling delivery of gases to bulk customers and producing reports to
enhance delivery schedules.
 Interpret statistical data to maintain distribution KPI’s.
 Ensure schedules are produced within the Fatigue Management Guidelines and
Contractor guidelines.
 Liaise and communicate effectively with delivery drivers, plant operators and customers
 Respond to customer requests / complaints and ensure a mutually beneficial outcome
for the customer and the company.
 Create, modify and receipt Purchase Orders for the Supply Chain Team.
 Manage scheduled and unscheduled tanker maintenance within the delivery schedule
and ensure tankers are maintained to accepted company and regulatory standards.
 Ensure tanker Registration and Dangerous Goods licenses are current.
Dispatcher
Duties/ Responsibilities
Duties include, but are not limited to:
 Review Fuel orders and dispatch drivers optimizing available equipment.
 Keep work load schedules balanced and maintain contact with drivers.
 Preparation and maintenance of evening dispatch for current and following
days.
 Monitor Customer inventories and schedule loads accordingly.
 Work with Transportation supervisor to schedule maintenance.
 Maintain price tables and optimize buying opportunities while working with
suppliers.
 Review prior day’s paperwork for accuracy and prepare for billing.
 Daily Sales report using JDE accounting software (Transport load billing).
 Daily inventory reconciliation (balancing fuel inventories).

Dispatch Manager–Unitrans Botswana (Pty) Ltd (Operations)
Planning Daily Delivery Schedule
On a daily basis plan on deliveries to the customer before close of business for the next day
which entails;
 Monitoring ullage of fuel on all customers sites and liaises with customer
(schedulers) on the next day deliveries. This requires assurance that there are

enough vehicles and all are road worth (vehicle permits and service are all up to
date).
 Drivers are available (compiling a driver roaster) and customer driving and duty
hours are not violated.
Administration/Organising
 Use of control spreadsheets and I-Fox program to capture trip details to avail
information to relevant personals to pursue SHEQ and payments matters.
 Ensuring all trip documentation is in line and signed off to be processed for
payment.
 Sign off driver’s hours and submit for payments processing.
Operation Control
 Completes and send vehicle movement/status after every 6 hours to pin point
any delays i.e. vehicles operational under contract, vehicles not on the road
(using Fleet Manager Application).
 Monitor and capture any delays and record as delays to help improve on vehicle
turn around.
 Coaching and taking corrective action on drivers on any events that breach
defensive driving thus compromising safety.
This requires persistent/consistent communication and alertness throughoutwith the customer,
workshop, and drivers to ensure that the plan is executed effectively and efficiently. (Safety
delivers correct volume on time at correct destination).
