Project communication involves exchanging project information between parties to foster understanding. Effective communication is critical to project success. Project managers are responsible for developing a communication plan that distributes information via the most effective methods, files data according to uniform systems, and archives records per retention policies. The communication plan identifies who needs what information, when, how it will be distributed, and who will provide it.

Project communication is the exchange of project-specific information with the emphasis on creating understanding between the sender and the receiver. Effective communication is one of the most important factors contributing to the success of a project.
Project Communication is the responsibility of everyone on the project team. The project manager, however, is responsible to develop the Project Communication Management Plan with the input from the task managers and Project Development Team (PDT).

Who is involved in the communication process the identified stakeholders, such as Project Team Members, project management and staff, customer management and staff, and external stakeholders. What is being communicated the message; the information being communicated. When the information is communicated weekly, monthly, quarterly, as needed, or as identified. How the information is distributed in a meeting, a memorandum, an email, a newsletter, a presentation, etc. Who will provide the information being communicated.
